Contributing to Trove

Sharing your records with Trove is a great way to increase the discoverability of your collection and enhance its potential as an educational resource. Trove - https://trove.nla.gov.au/ - is maintained by the National Library of Australia and brings together content from libraries, museums, archives, repositories and other research and collecting organisations, large and small. Any Victorian Collections organisation may choose to share their publicly available collection records with Trove.

HOW TO BECOME A TROVE PARTNER
1. APPLY TO BECOME A TROVE PARTNER
Make arrangements directly with the National Library of Australia. Refer to the Trove Partners page on the Trove website.

Specifically, note 'Become a Partner' ad 'Partner Terms and Conditions' - including the Trove Collaborative Services (TCS) Agreement - sections, as well as the packages available.

You will need to include your organisation's Victorian Collections internal system identifier during your application process. To find it, click on Sign the Memorandum of Understanding (MoU) provided on the National Library of Australia’s Contributing to Trove website. Two copies must be submitted via post. Once received, a member of the Trove team will contact you.
Remember to include your organisation’s Victorian Collections internal identifier in your application. To find it, click on About this Organisation on the Dashboard. Under the menu item Sharing, click About Contrituting to Trove, then scroll to the bottom for your organisation’s internal identifier.
2. SWITCH SHARING ON
Trove will not be able to harvest your collection records until you have enabled access within Victorian Collections. To do this, click on About this Organisation on the Dashboard. Under the menu item Sharing, click Update and then Share with Trove. Click the save button in the top right hand corner to complete this process.

COMMON QUESTIONS
Can Trove access all my collection records?
Trove can only access and share data from Victorian Collections organisations that have opted to share their records. Only publicly available records, fields and images can be shared. Private records and images are not accessible to Trove or Trove’s users.

What record data is included when my records are shared to Trove?
​We are advised that when you share a record with Trove:
  1. text within that record becomes freely available for both non-commercial and commercial use, via the Trove API. That text may be copied, altered and republished without attribution, by commercial or non-commercial entities.
  2. the copyright status of images within that record are unaffected when shared with Trove. Images cannot be reused without permission from the copyright holder/s.​

Does this mean people will stop looking at my VC page?
Once an organisation becomes a Trove contributor, their publicly available collection records become searchable on the Trove website. Trove displays only basic data and a thumbnail image. If a Trove user wishes to find out more about a collection item or organisation, they can click through to that record or organisation page on Victorian Collections. Often an organisation's page views increase after they become a Trove contributor.
