CMS updates: Additions to Item type control list and changes to Duplicate record functionality - Mar 2023

The VC team would like to take this opportunity to share two updates to the VC CMS made earlier this week, to assist with Item type selection, and using the Duplicate record functionality.

1. Item types added to control list
The Item type field is a top-level category within Victorian Collections that accurately describes the type of item you are documenting.
The list of Item types is a controlled list and the VC team periodically adds new Item types. This is informed by internal assessment of broad and demonstrated community need. 

The following two new Item types were recently added:
- Ephemera
- Newsletter

If you need to record classification information in addition to the Item types available, the Item name field is available as a free-text field. You can use the in-build system help guide for examples on how to use this field.

2. Duplicate record - optional fields to duplicate
Users can now select additional record data to copy when duplicating a record, in addition to the usual fields that will duplicate automatically. 

Including this data in the duplicated record is optional. This can be done by making a selection from the drop-down 'Inclusions' tab, before confirming your record duplication.
Please note Location is no longer automatically duplicated and will need to be selected if it is required. 

The optional data available for duplication is:
- Location
- Location history (only available when selecting to duplicate location)
- Identifier (select 'registration number')
- Condition reports
- Treatment reports
- Valuation reports
- Risk reports

Remember, each record should have a unique identifier. Duplicating this data should only be undertaken when cataloguing Parent and Child records, or records from a single donation with a similar prefix in each item's identifier.
